Front Desk Receptionist

Full-Time, 35 hours per week: Mondays 9am-3pm, Tuesday-Thursday 9am-4pm and Fridays 9am-5pm. Must have minimum 1-2 year experience in office environment with a high school diploma. We are looking for strong computer skills, great customer service, excellent organizational skills, and the ability to handle multiple tasks in a prioritized and logical manner. Pay rate $16-17.00/hr

The Receptionist ensures the efficient day-to-day operation of the office, and supports the work of management and clinical staff.  Answer incoming calls on the office main line, deals with inquires and re-directs calls appropriately. Greets all guests, ensures they are comfortable while advising appropriate staff that client is waiting. The Receptionist collects co-pays and appropriately records their receipt. Collects and distributes incoming mail. Handles communication by telephone, fax and email and is responsible for photocopying and all filing. Helps to keep the office and waiting areas neat. Maintains all office equipment and makes certain that supplies are replenished. Request, receive and store the office supplies ensuring that basic supplies are always available. Schedules appointments and sessions as requested by other staff. Data entry into various client databases. Project and tasks as assigned by Clinical Director.

Essential Job Functions (listing most important first):

1. Use computer systems for the following tasks, including, but not limited to:
• Data entry
• Collecting co pays
• Working  with client appointments

2. Maintain confidentiality and discretion at all times both when dealing with clients and internal matters.|
3. All tasks required for the smooth and efficient running of the office.      
4. Support of Clinical Director, Medical Director and all clinicians.
5. Maintaining a complete inventory of office supplies and making purchase orders for the agency.             

Essential Job Requirements:

EDUCATION       High School Diploma; Bachelor’s Degree a Plus

EXPERIENCE       Minimum of 1 year working in an office environment. The ideal candidate will be experienced at all of the above tasks, as well as proactive, thinking one step ahead of the work to be done, working independently to accomplish such tasks. They will be eager to take on duties as assigned, which will vary depending on what projects are underway in the office.


• Good skills with Microsoft Office: Word, Excel, Access
• Knowledge of Modern Office practices and of standard office equipment.
• Excellent organizational skills and ability to handle multiple tasks in a prioritized and logical manner
• Ability to work in a team environment, yet work with little or no supervision

Essential Physical/Mental Skills Required for the Position:

• Employee must be able to read and write.
• Employee must be able to communicate with clients, staff, employees, volunteers, and the public-at-large.
• Employee must be able to communicate clearly via telephone.
• Employee must be able to type and work at the computer for long periods of time.
• Employee must be able to lift 25 pounds.
